PractaLuma Zoom integration

Before you start

You will need:

• A PractaLuma administrator or practice manager account.
• A Zoom account owner or administrator who can approve account-level apps and view the account's users.
• A Zoom user for each practitioner who will host meetings. Zoom plan and licence limits continue to apply to each host.

Connect Zoom

1. Sign in to PractaLuma.
2. Open Settings, then Integrations and choose Zoom.
3. Select Connect.
4. Sign in to Zoom, review the permissions, and select Allow. If your Zoom account requires app pre-approval, ask the account owner to approve PractaLuma first.
5. After returning to PractaLuma, open the Zoom integration settings.
6. Map each PractaLuma practitioner to the Zoom user who should host their meetings.

Use the integration

When scheduling a non-recurring virtual session, choose a mapped practitioner and turn on Create a Zoom meeting link. PractaLuma creates the meeting in that practitioner's Zoom account and stores the meeting link with the appointment so it can be shared with participants.

Changing or cancelling an appointment does not necessarily remove the corresponding meeting from Zoom. Check the practitioner's Zoom account if a meeting must also be edited or deleted there.

Permissions and data

PractaLuma requests only the Zoom permissions needed to:

• Create meetings for mapped Zoom users.
• Identify the Zoom user who connects the account.
• List account users so an administrator can map practitioners.

PractaLuma stores the connected account and user identifiers, email addresses used for mapping, granted permissions, encrypted OAuth tokens, and meeting links created for appointments. It does not request access to meeting recordings, audio, video, chat, or meeting content.

Remove the integration

You can disconnect PractaLuma from either service:

• In PractaLuma, open Settings, Integrations, Zoom, then select Disconnect.
• In Zoom App Marketplace, open Manage, Added Apps, PractaLuma, then select Remove.

Disconnecting deletes the stored Zoom OAuth tokens and practitioner mappings, so PractaLuma can no longer create new Zoom meetings. Existing Zoom meetings are not deleted automatically. Meeting links already stored with appointments may remain according to PractaLuma's data-retention obligations; contact support to request help with retained data.

Troubleshooting

Zoom says the app needs approval

Ask the Zoom account owner to pre-approve PractaLuma in Zoom App Marketplace, then try connecting again.

A practitioner is not available as a host

Confirm that the practitioner has an active Zoom user on the connected account, then refresh the user list and map them again.

Meeting creation stops working

Disconnect and reconnect Zoom to renew authorisation. Confirm the mapped Zoom user is active and has an appropriate licence.
